Aerotek Administrative Assistant in Torrance, California

Job Summary:

The Administrative Assistant is responsible for ensuring our customers, both internal and external, receive superior customer service and administrative support.

Essential Functions:

  • Maintain outstanding levels of administrative support to all internal and external employees

  • Build strong relationships with internal and external customers

  • Maintain adequate levels of pre-employment packets (if applicable to business needs)

  • File and maintain contractor paperwork as needed

  • Order, organize, and maintain all office supplies

  • Organize incoming and outgoing mail/deliveries

  • Assist with data entry of personal data for both internal and external employees

  • Organize contractor orientations with regional Aerotek offices (as needed)

  • Onboarding contractors and 1099 contractors, including processing orientation paperwork

  • Enter and manage background and drug testing processes for contractors

  • Assist with data entry and tracking of compliance documents/processing

  • Assist with office audits and compliance requirements

  • Track internal candidates by tracking and properly storing applications as outlined by Aerotek policies

  • Manage aspects of internal onboarding process, including maintaining and updating paperwork

  • Timely processing of weekly internal payroll

  • Manage P-card process, including purchasing and reconciliation in compliance with Aerotek policies

  • Assist with reporting responsibilities and distributing reports to internal partners as needed

  • Partner with Recruiting Center Manager or Customer Support Supervisor to plan and organize team events, projects, and outings

  • Any other duties as assigned by Recruiting Center Manager or Customer Support Supervisor

Minimum Education/Abilities/Skills:

  • 1 years of experience in a customer service related position

  • Ability to prioritize, organize, problem solve and meet deadlines and goals

  • Ability to communicate effectively and provide proper follow up

Special Requirements:

  • Computer experience with 35-45WPM and understand Microsoft Office Programs
